Typewriters disappeared from use and went to the museum, but the need for a person who collects documents, puts them in the right folders, meets visitors and answers phone calls has not gone anywhere. In the article we will tell you about the profession of "secretary-typist" in the modern world - its features, requirements and where such specialists are needed today.

Peculiarities

A typist secretary is one of the junior secretarial positions. Although today this specialist no longer works on a typewriter, but on a computer, the name was retained not only by tradition, but also in order to emphasize the performing nature of the work. (in contrast to the administrative and secretarial positions of a higher rank - assistant manager, secretary-assistant, clerk, office manager).

Information about the profession, performed duties are contained in two documents:

  • "Unified qualification reference book of positions of managers, specialists and other employees" - abbreviated as EKS (previously called ETKS);
  • professional standard "Specialist in organizational and documentary management of the organization."

The priority for application is the professional standard. It is adapted to the specifics of the modern market, contains a more complete and detailed description of labor functions.

The professional standard classifies the position of the secretary-typist to the 3rd level of qualification - that is, her duties involve control of the work by a senior specialist, a minimum of independent decisions and managerial functions.

The main task of the secretary-typist is a set of texts and documents, reproduction and systematization of information according to a template (scanning, copying, retyping documents, filling out standard forms, sorting correspondence, registering incoming and outgoing documents).

Also, responsibilities may include working with visitors, answering phone calls, providing the office with stationery.

Like any profession, the profession of a typist secretary has its own characteristics:

  • the work is characterized by a rather stressful nature, while the employee must be able to perform monotonous work of typing, and communicate with people, be the face and voice of the company.
  • there is no rigid list of duties - the secretary carries out various orders of the head;
  • this position is an excellent start for a career and an opportunity to gain experience useful for a future manager;
  • the work is considered female (this is even reflected in the title), although male secretaries are no less in demand;
  • the main skill is to correctly build relationships with the team, and not at all the speed of typing.

Job description

On the basis of the generalized requirements of the professional standard, an internal job description is developed in each organization - the main document regulating the rights and obligations of the employee.

It is in this document that the list of functions performed by an employee in a particular organization is determined. In a typical instruction, the functionality can simply repeat the corresponding provisions of the standard (previously the "Responsibilities" section was often completely copied from the CEN). Usually, the instructions have the following points:

  • prints various materials at the direction of the head;
  • organizes telephone conversations of the head.

If necessary, the items can be specified, specified, and the scope of responsibilities can be expanded or narrowed in comparison with the standard, if the specifics of the organization require it. For example, for the secretary-typist at the school, points may be indicated that she organizes the issuance of certificates confirming work or study at the school, keeps a register of students. And in a commercial company, these may be provisions on keeping a travel log of couriers and issuing relevant certificates.

Education

The professional standard establishes the minimum requirements for the appointment of a secretary-typist - for this, a complete secondary education is sufficient.

Specialized courses will be an added advantage. Moreover, neither the CEN, nor the professional standard in any way limit the requirements for the certificate of completion of such courses. Therefore, you can choose any training program for secretaries from a huge list of proposals from public and private training centers.

Knowledge and skills

Although the secretary typist does not require serious educational background and academic knowledge, she needs a large set of practical skills:

  • confident computer skills, knowledge of office programs, ability to work with office equipment, literacy, fast typing speed;
  • the ability to work with documentation within the framework of their competence - to know the rules for drawing up standard documents, service letters, rules for sorting and registering correspondence and other documents;
  • developed communication skills, the ability to build relationships with partners, clients, employees, knowledge of ethics and etiquette of business communication, rules for working with confidential and proprietary data;
  • knowledge of regulations governing work.

A specialist must have not only professional skills, but also certain personal qualities: he must be confident, polite, emotionally stable, be able to quickly navigate the situation, resolve conflicts, work both in multitasking mode and in routine work mode, have high self-organization, attentiveness, responsibility.

Where does it work?

Previously, typist secretaries worked in machine bureaus. Today the work of this specialist is most in demand in the following organizations:

  • in state, administrative structures;
  • in educational institutions (school, college, university);
  • in law firms, private lawyers, notaries;
  • in the archives.

Also, a vacancy can be opened in any other organization. At the same time, in private companies, the position can be called not only the secretary-typist, but also the secretary-administrator, the secretary at the reception, the secretary.
